Foreword… : Though it is not a promise, we do try our best to do one group order per month, and we aim to order towards the beginning of the month. We also try complete a group order before starting the next one to reduce spam within our WhatsApp group & also reduce confusion between updates of each order, and also so we can ensure each is done in full before putting more on our plate. That being said, we may skip a month here and there should we have a busy time, but we will also notify of this accordingly.
Basic end-to-end Ordering Process…
A.I. Fest will notify of the upcoming due date for the next group order within our WhatsApp group (approx. a week before the due date). The message will contain the order form & instructions on how to place the order with us. (Please message us with your cellphone number to request to be added to our T&T group ordering WhatsApp group)
Complete the excel order form in full. It is recommended to use a PC for this, as cellphone versions of the app do funny things to our formulas.
Email your order form + EFT proof of payment of the required deposit to the specified email address. (NO CASH DEPOSITS)
Once everyone’s orders have been received, by the indicated due date, from early the next morning after the due date, we will add to cart & checkout a single/combined order with Troll & Toad. Please note that this is a lengthy process and can take half a day to a full day depending on how many orders received. No changes may be made after the due date has passed, and orders received are firm & non-refundable (unless of course there is a problem once the parcel arrives: eg. missing cards etc). Queries on orders will only be responded to after the checkout process has completed. So we recommend you take the week before the due date to ensure your order is 100% correct before submitting to us.
Once we have completed checkout, we will send you a confirmation of what we managed to order on your behalf, and we will notify within the WhatsApp group as well.
ETA: 2 – 6 weeks from time of checkout (this all depends on when the order is dispatched by T&T, how long it is in transit within USA to our forwarder, when the next available flight to RSA is, and how long the Customs process takes to start & complete). Don’t worry, we will keep everyone informed each step of the way, with updated ETAs, via our WhatsApp group.
When the order has arrived with us, we will notify within the WhatsApp group, and we will also confirm the exchange rate, bank charges, shipping & customs and email you your confirmed amount due before we can dispatch for delivery to your door / allow collection.

We update formulas to consider the current exchange rate, so it must be the latest one. We do indicate the due date at the top of the order sheet, so that you know you are using the correct one.
